Who operates the service
Learning We Keep is operated by its individual builder, a homeschooling parent. This notice applies to the Learning We Keep website, web application, and related account services.
Information collected
Account information. When you register, the service processes your display name, email address, authentication credentials, session information, and any password-reset requests. Authentication and session services process the credentials needed to verify account access.
Household and learning information. Adults can enter a household name; learner names or nicknames; subjects; curricula; activities and plans; dates; descriptions and notes; recorded time; goals; attendance; household-member email addresses; and invitation records. Families choose the level of detail they enter.
Pathways information. When you use Pathways, the service may process learner birth month and year, parent observations, starting-point estimates, uploaded assessment reports, assessment responses and submitted work, recordings and transcripts, suggested evidence, learning preferences, plans, lesson materials, and feedback.
Technical and usage information. Hosting, network, and application infrastructure may process IP address, user agent, timestamps, requested routes, response status, security signals, and error or performance information needed to deliver, protect, and troubleshoot the service.
How information is used
Information is used to authenticate accounts, establish household membership, provide planning and record-keeping features, privately store learning photo attachments, generate requested exports, display the household learning history, manage invitations, troubleshoot and deliver transactional invitation emails, troubleshoot errors, protect the service, and maintain its operation.
Learning We Keep does not currently sell personal information, use household learning records for targeted advertising, or place third-party advertising scripts on the site.
Providers and sharing
Learning We Keep relies on hosted database infrastructure for account, learning records, and private photo attachments; authentication and session services for account access; transactional email delivery services for household invitations; and hosting, network, delivery, and observability services to operate, protect, and troubleshoot the application. These providers process information as service providers only as needed to supply those functions.
Information may also be disclosed when required by applicable law or when reasonably necessary to protect users, other people, or the service. Adults who join the same household can access its shared records, so invitation links should only be given to trusted people.
Pathways uses AI service providers to interpret submitted assessment reports and learning evidence, transcribe submitted audio, evaluate responses, and generate or review assessment tasks, activity suggestions, and learning-plan materials. Relevant submitted content and learning context are sent to those providers to perform these functions. Avoid including information that is not needed for the learning activity.
Parent-created child links allow a person with the link to access the specific assessment or lesson it authorizes without a household account. Protect these links and revoke them when no longer needed.
Cookies and browser storage
The authentication service uses secure cookies to keep web accounts signed in and protect authenticated requests. The application also uses temporary browser memory and interface state while it is open. It does not currently set marketing or advertising cookies.
Security
Household API routes require authentication and apply household membership checks. Credentials and sessions are handled through authentication services, and hosted infrastructure delivers and protects the production service. No online service can guarantee absolute security, so account holders should use a strong password, protect invitation links, and sign out of shared devices.
Retention and deletion
Account, household records, and attached learning photos remain while the account and household are active so the service can maintain a continuing learning history. Operational logs and routine provider backups may remain for limited periods under provider and infrastructure practices.
Account holders can schedule deletion in Settings after confirming their password. Data remains unavailable but recoverable for 30 days, then the account and selected household data are permanently erased. Owners may instead transfer household ownership and delete only their account. Signing out or leaving an account unused does not delete it. Reports can be exported before deletion.
Children’s information
Learning We Keep is designed for adults managing household learning records, not for children to open independent accounts. Adults may enter a learner’s name or nickname and information about their learning. Account holders are responsible for choosing appropriate details, limiting them to what is useful, and sharing household access only with trusted adults.
